Avery 8160 in Microsoft Word, step by step

  1. Open the Labels dialog

For 8160 labels, open a blank Word document, go to the Mailings tab and click Labels, then Options. Set the printer type (page printers covers laser and inkjet) before you look for 8160.

  2. Pick 8160 from the list

Under Label vendors choose “Avery US Letter” and select 8160 in Product number. Label information should read 1″ high and 2.625″ wide, and Details shows 3 across × 10 down; product lists differ between Word versions.

  3. Or create 8160 as a new label

If 8160 is not listed, click New Label, name it “8160 LabelGrid” and enter: Top margin 0.5″, Side margin 0.188″, Vertical pitch 1″, Horizontal pitch 2.75″, Label height 1″, Label width 2.625″, Number across 3, Number down 10, Page size Letter (8.5 × 11 in). Word keeps the custom label for next time (in current versions it appears under the Other/Custom vendor).

  4. Fill the labels

Back in Labels, type the 8160 text once and pick “Full page of the same label” for 30 copies, or click New Document to get an empty 3 × 10 table of 30 cells to fill one by one.

  5. Mail merge a list onto 8160

For a list, use Mailings › Start Mail Merge › Labels with the same 8160 settings, then Select Recipients › Use an Existing List (an Excel or comma-separated file), insert the merge fields in the first 8160 label, click Update Labels to copy them to the other 29 and Finish & Merge.

  6. Print 8160 at 100 %

Print on US Letter paper with no “scale to paper size” option, then hold a plain-paper test behind the 8160 sheet against a window: all 3 columns should sit 0.188″ from the edge.

Worked example: 25 Valentine's Day labels on 8160

Your list has 25 rows, so Finish & Merge fills 1 page of 30 Avery 8160 labels and leaves the last 5 labels of page 1 empty. Keep that sheet: next time add 25 blank rows at the top of the list so Word starts on label 26.

In the LabelGrid designer the same 25 rows go into merge mode; the free version prints the first 30 (one full 8160 sheet) and Pro removes the limit. To reuse a part-used sheet, set the start position to the first empty label.

When 8160 labels print out of line in Microsoft Word

  • Word may warn that the 8160 margins are outside the printable area of the page. Continue without letting Word fix the margins (the button names differ between versions): the 0.188″ side margin is narrow, but the 2.625″ labels sit inside it.
  • A blank second page appears after the 8160 table: Word always keeps a paragraph mark after a table; select it and set its font size to 1 pt so all 10 rows stay on one page.
  • If every 8160 label printed from Microsoft Word is off by the same amount, the printer feeds off-centre: add the measured offset to the 0.5 in top or 0.188 in side margin, or use the LabelGrid printer offset.
  • 8160 sheets are made for inkjet printers: if the printer settings in the print dialog of Microsoft Word offer a label or heavy-paper media type, pick it, and let the ink dry for a minute before you stack the sheets or peel the first label.

About the Avery 8160 sheet

Avery® 8160 (address labels) has 30 labels of 1″ × 2 5/8″ per US Letter sheet. 8160 is the inkjet version of 5160; both share one layout, so a 5160 template prints on 8160 sheets. The same layout is sold under other Avery codes too (5160, 5260, 5510, 5520, 5560, 5810 and more), so these settings work for them as well.

Common jobs for 8160: Halloween address labels, Christmas address labels, Christmas card address labels, holiday address labels and Valentine's Day labels. Avery® 8160 is named only to identify compatible sheets; LabelGrid is not affiliated with Avery.

Frequently asked questions

Does Word have an Avery 8160 template?

Word's built-in list normally has 8160 under the “Avery US Letter” vendor in Mailings › Labels › Options, but the list differs between versions. If yours does not, New Label with 0.5″ top margin, 0.188″ side margin and 3 × 10 labels gives the same layout.

What are the measurements of Avery 8160?

30 labels of 2.625 in × 1 in on US Letter, 3 across and 10 down. In Word's New Label dialog that is a 0.5″ top margin, 0.188″ side margin and 2.75″ × 1″ pitch.

Why do my 8160 labels from Microsoft Word drift down the page?

Either the Vertical pitch is not 1″ or the print dialog scaled the page; at 97 % the last row moves about 0.315 in. Print at 100 %.

Can I skip Microsoft Word entirely?

Yes. The LabelGrid designer at the top of this page is set to Avery 8160: type one label or paste a list and download a PDF aligned to all 30 positions, free and in your browser.
